Menu 16.5 Paperless End of Day

Phase I

Objective: To enable users to distribute day-end reports in a variety of ways including
                 multiple printers, email and a no print option.

Implementation:

1. Print Menu 16.6 EOD Report Xref File Listing. This will list the reports with their ID#'s for 
    you (EOD.XREF ID)

2. Use Menu 16.5 EOD Report Xref Maintenance and enter the company #, dash, and the
    report ID#. The report name, Printer # that it is currently printing to and the number of
    copies will already be filled in for you.
     a.  You can change the printer # or if you don't want it to print at all, put an 'N' in that
          field.
     b.  You can also change the number of copies.
     c.  You can fill in up to 4 emails addresses to have the report emailed to.

3. Initially, both day-end procedures will run, so that each store can verify the outcome.

4. When you are comfortable with the outcome of the paperless day-end, go to menu 12.1.1
    and change the printer # in field 38 to 'HS'. This will get the normal day-end reports to
    stop printing.

NOTE: Make sure to do this for all companies in your system.

Important Outlook & Outlook Express Note:

A common problem with the emailed EOD reports is that Outlook and Outlook Express will remove the attachment from the email after it's been read.
Do the following to solve this problem:

OUTLOOK®:
Instructions based on Outlook 2002, the version that comes with Office XP

  • Click Tools>Options
  • Select the Mail Format tab.
  • Change "Compose in this message format" from HTML to Plain Text.
  • Click Apply, then OK.

OUTLOOK EXPRESS®
Instructions based on Outlook Express 6.0

  • Open Outlook Express
  • Select Options from the Tools menu.
  • Click the Send tab
  • Change the Mail Sending Format to Plain Text
  • Click Apply then OK.

How to "not allow attachments to be saved or opened that could potentially contain a virus".

    Click on Tools, then click on Options, then click on the Security Tab, uncheck the box that says (Do not allow attachments to be saved or opened that could potentially be a virus). Then click on apply and okay.
